How event coordination works

Some gatherings are neither a holiday nor a conference: a milestone anniversary at a hill resort, a college reunion by the sea, a family gathering that brings three generations from four cities. Event coordination with Orbitz Holidays plans the travel and stay around a gathering like that, and coordinates the on-the-ground movement so the hosts can be guests at their own event.

The brief covers the occasion, the dates, the number of guests and where they are coming from, the venue or the kind of venue in mind, and the functions planned. From that, a plan is drafted that covers guest arrivals, accommodation, transfers for each function and departures, presented day by day.

Where the venue is part of the brief, options are shortlisted with a plain note on capacity, location relative to the accommodation, and what the venue itself provides. Venue hire and event production are included only where the confirmed proposal specifically says so.

Guest movement on the day

The part of an event that most often goes wrong is the gap between the hotel and the venue. Transfer timings, vehicle capacity and a contact who knows the plan are agreed in advance, so that guests arrive together and on time without the hosts chasing anyone.

For gatherings that span several days, the schedule shows where each group needs to be and when, and is shared with the venue and the hotel so that everyone is working from the same document.

What is confirmed before booking

The proposal states the guest count it was built for, the rooms held and in which categories, the transfer plan for each function, any venue or activity included, and the supplier terms that apply to changes and cancellations. Elements outside the travel plan — décor, catering, entertainment, production — are listed as excluded unless specifically added.

Costs are shown against each element so a change in numbers or an added function can be recosted without rebuilding the plan.
